Reserving a Room

The Nashville Convention & Visitors Bureau Housing Department is handling rooming. NCVB is unable to make reservations over the phone. Below are your options for booking hotel reservations. The NCVB Housing Bureau is able to answer any questions via e-mail at ncvbhousing@visitmusiccity.com

Several hotels are available at reduced convention rates: Doubletree Hotel Nashville, Hilton Nashville Downtown, Millennium Maxwell House, Renaissance Nashville, and Sheraton Nashville Downtown.

The NCVB Housing Bureau online reservation Web site includes information on each hotel regarding location, amenities, and pricing. You must make all room reservations through the NCVB to get the reduced rate. Be sure and reserve your room early to get the best selection of hotels.

THE LAST DAY TO MAKE RESERVATIONS AND RECEIVE THE CONFERENCE RATE IS OCTOBER 20, 2008. Depending on availability, rooms may be reserved through the NCVB Housing Bureau until NOVEMBER 6, 2008. Beginning November 7th, contact the hotels directly for availability and pricing.

Hotel Check-In

• Check into the hotel immediately upon arrival. (Since your room probably won't be available until 4 pm, the hotel will provide storage for your luggage.)
• Check in with a major credit card (even if you wish to pay your final bill by check).
  Note: It is recommended that a debit card not be used for hotel check-in as many hotels block your estimated total bill as a guarantee. Credit card check-in allows you to charge all expenses to your room. If you choose not to use a credit card, you must pay cash in advance, and you may not charge anything to your room.
• Settle your final bill with cash, traveler's checks, major credit card, or check (driver's license and major credit card required). Church checks made out to the hotel for the exact amount will be accepted with credit card back up. No third-party checks are accepted.
• Check with the hotel regarding nonprofit exemption.
• Many hotels now have a surcharge if you check out earlier than scheduled. When you check into your hotel, be sure your checkout date is correct.

Changes/Cancellation Policy

A first night's rate is required as the deposit.

Reservations secured by a check deposit, will be assessed a $20 processing fee if cancelled at any time.

Room Reservations cancelled after October 20, 2008 will be charged a $25 Cancellation Fee.

FAILURE TO CANCEL RESERVATIONS BY 3PM (CST), THREE DAYS PRIOR TO YOUR ARRIVAL DATE, FORFEITS THE FIRST NIGHT'S ROOM RATE.

PLEASE DO NOT CONTACT YOUR HOTEL WITH CHANGES OR CANCELLATIONS BEFORE NOVEMBER 7, 2008.

Ground Transportation can be found on the lower level (Level 1). Taxi fare from the airport to downtown is $22.

Follow Nashville signs and exit on Broadway (Exit 209). Turn left. Convention Center is on your left, between 7th and 5th Avenues.

From East on I-40 (Airport)
Follow I-40 West (Memphis signs). Take Exit 209 (Broadway) and turn right onto Broadway. Convention Center is on the left between 7th and 5th Avenues.

From South on 1-65
Take the I-40 West fork (Memphis sign). Exit on Broadway (Exit 209). Turn right onto Broadway. Convention Center is on the left, between 7th and 5th Avenues.

From North on I-65
Follow I-65 (Memphis sign), it joins I-40. Stay on I-40, following Nashville signs. Exit at Broadway (Exit 209). Turn left onto Broadway. Convention Center is on the left, between 7th and 5th Avenues.

From Southeast on I-24
Merge with I-40. Follow I-40 West (Memphis signs). Take Exit 209 (Broadway) and turn right onto Broadway. Convention Center is on the left between 7th and 5th Avenues.

From Northwest on I-24
Join I-65. Follow I-65 until you merge with I-40. Exit on Broadway (Exit 209). Turn left onto Broadway. Convention Center is on the left between 7th and 5th Avenues.
